Responsible for assisting the Deputy Clerk, Elections, Accessibility and Lottery Licensing and Coordinator, Elections, with timely management of election and voter information, as well as assisting with the conduct and administration of the Municipal Election.
POSITION DUTIES:
- Provide organized and proactive assistance with planning and organizing all aspects of election roll-out
- Recruit approximately 2,000+ Election Day staff
- Organize and assign election staff to more than 150 voting locations
- Organize and ensure all staff receive appropriate training and election worker information
- Assist in organizing and participating in training sessions for election workers
- Conduct audits of proposed voting locations, while checking accessibility and technological requirements
- Liaise and coordinate with School Boards; draft and present voting location agreements
- Create voting location profiles and floor plans; order voting location supplies and manage supplies inventory
- Assist with the organization of Advance Voting and Election Day activities
- Assist with overseeing operations and procedures during Advance Voting days and Election Day
- Assist with candidate nomination and third-party advertiser registration process
- Review candidate endorsement forms and post candidate and third-party advertiser contact information to Brampton Votes website
- Organize Candidate Information Night as well as other public/staff information sessions, community engagement and outreach events
- Participate in mock elections
- Provide internal and external customer service, ensuring City staff, candidates and residents receive up to date information regarding voter directories, candidate information, election staff records, voting times and locations, as well as key updates for the Brampton Votes website
- Maintain election databases
- Liaise and coordinate with third party Voters’ List processing vendor to ensure system meets the City’s needs
- Liaise and coordinate with Elections Ontario to update voting subdivision boundaries
- Participate in review of ballots
- Participate in review and testing of voter notification letters
- Assist in creating and preparing training manuals and materials
- Maintain knowledge of collective agreements, City policies and practices, legislation, regulations and Standard Operating Procedures (SOPs)
- Coordinate payment for election staff
- Perform additional related tasks as required
SELECTION CRITERIA:
EDUCATION:
- High school (Grade 12) graduation plus an additional program of up to one year or equivalent in Office Administration or equivalent
EXPERIENCE:
- Over one year up to and including two years of related experience.
REQUIRED LICENCE CERTIFICATION:
- Valid non-probationary Ontario class G driver’s licence.
OTHER SKILLS AND ASSETS:
- Previous experience associated with municipal elections considered an asset.
- Knowledge of Municipal, Regional, Provincial and Federal Governments and applicable Legislations
- Exceptional written and verbal communication and interpersonal skills with an emphasis on customer service.
- Detail oriented, well organized, and able to multi-task a variety of tasks and activities meeting conflicting priorities and timelines
- Analytical skills for complex problem solving
- Ability to work independently or as part of a team.
- Ability to work with minimum supervision in a fast paced, flexible, challenging, progressive environment.
- Knowledge of MS Office and Web applications.
