Reporting to the Manager, Contracts Operations Planning & Projects, co-ordinate the planning, administering and maintaining of all operational materials and contracts, including preparation of tenders to ensure operational needs are met.
Position Duties and Responsibilities:
- Coordinate the planning, administering and maintaining of all operational materials and contracts, including preparation of tenders to ensure operational needs are met.
- Develop material supply schedules, manage material distribution and inventory control, and verify material quantities, costs and activities.
- Identify and research new products, methods and procedures.
- Manage the procurement of contracts for equipment, services and materials and monitor vendor performance, review, verify and process invoices for approval of payments..
- Schedule resources and equipment to meet project needs.
- Coordinating seasonal activities with Operations Supervisors and Forepersons
- Provide supervision to Administration clerks
- Initiate accident claims investigation on behalf of Roads Mtn – Operations & Fleet and report findings to the City’s Insurance Division and Legal Counsel.
- Monitor and provide amounts for materials,equipment and services for budget preparation
- Ensure that customer services levels are maintained.
- Liaise with other agencies and suppliers.
- Coordinate the delivery of the annual Leaf Collection Program and the annual Sreet Sweeping Program.
- Participate in special assignments and projects as required.
Selection Criteria:
Education:
- Community College Diploma in Business or Public Administration preferably with some accounting courses;
- Graduate of a Business, Technology, or Administration related discipline, or equivalent. A combination of related education and practical experience may also be considered.
Required Experience:
- 1 to 3 years experience in a municipal environment; experience supervising or leading in a unionized environment;
- 1 to 3 years experience as a contract administrator, ensuring deliverables are met, applying liquidated damages, and reviewing contractor performance.
Other Skills and Assets:
- knowledge of materials contracts and requirements, inventory control and records management.
- Demonstrated ability in improving business and administrative processes.
- Computer skills including Microsoft Office with extensive knowledge of spreadsheet applications, and thorough working knowledge of CITY WORKS;
- excellent public relations and communication skills;
- able to work independently and as part of a team;
- good performance and work record;
- Must possess a valid non-probationary Ontario Class “G” driver’s license and have use of own vehicle
