KEY DUTIES & RESPONSIBILITIES
The coordinator will provide coordination and operational support to the Director, Strategic Services & Initiatives to enable the effective running of the Division. This includes contributing to the delivery of key Council and corporate priorities, supporting financial and personnel management functions, fostering effective stakeholder and interdepartmental relationships, and assisting management team and staff in achieving strategic and operational goals across the Realty Services, Youth Programs & Initiatives, and Corporate Projects portfolios and other corporate needs. The coordinator will support the recruitment, work plan development, day-to-day oversight and performance management of co-op and summer students. This role is designed for early-career professionals to gain exposure to municipal operations and projects, strategic initiatives, and interdepartmental collaboration. The individual will be working with confidential and sensitive information and a variety of internal and external stakeholders in a fast-paced, dynamic environment
OPERATIONAL SUPPORT
- Manage scheduling, coordinate virtual calls, in-person meetings, site visits and consultations.
- Organize travel arrangements, events, and logistics.
- Maintain and update contact lists, distribution lists, and filing systems to ensure confidentiality and easy retrieval.
- Track expenses and assist with budgeting and financial reporting and forecasting.
- Assist with hiring, training and supervising summer students or co-op students.
- Support day-to-day divisional operations to ensure efficiency and alignment.
PROJECT TRACKING AND COORDINATION
- Track and monitor project timelines, milestones, and deliverables, and present regular reporting.
- Assist in developing project templates and status reports for a variety of audiences.
- Prepare background documents, agendas, and minutes for project-related meetings.
- Type, consolidate and distribute agendas, meeting minutes and action items.
- Support cross-departmental collaboration on strategic initiatives.
COMMUNICATION
- Develop professional correspondence, reports, and briefing notes.
- Draft, review and revise memos, presentations and communication materials for various audiences.
- Support communication with internal departments, senior leadership, Council, and external stakeholders.
- Develop visuals and graphic materials for initiatives.
- Assist in managing online and in-person outreach activities.
RESEARCH AND ANALYSIS
- Perform environmental scans and jurisdictional research related Divisional needs, process improvement and priority projects.
- Compile and summarize data and trends for presentations and reports.
- Assist in preparing metrics and dashboards to measure project impact and outcome.
- Provide support in evaluating program effectiveness and outcomes.

SELECTION CRITERIA
Education:
- Post-secondary diploma or degree in Public Administration, Business, Urban Planning, Political Science, or a related discipline.
Experience:
- 2-3 years of work experience, including internships, co-ops and term work.
