POSITION DUTIES:

Reports to Coordinator, Facility Rentals. Communicate, promote and assist with inquiries as they relate to facility rentals.

  • Provide excellent customer service and respond to facility rental availability and other community service-related inquiries.
  • Complete rental agreement bookings with a thorough understanding of the City’s policies, procedures and various standard operating procedures, point of sale and terms and conditions as applied to facility bookings.
  • Follow up on delinquent rental agreement accounts, external insurance certificates, special permits, licences and missing documentation.
  • Work closely with groups such as but not limited to community organizations, adult and youth sport associations, community and regional arts organizations, service and cultural clubs and internal departments on booking requests, schedules and requirements.
  • Work with facility scheduling team on seasonal rental agreements, including inputting contracts into XPLOR and following up with signature, payment and insurance.
  • Provide assistance to recreation City staff on facility booking methods and procedures, various XPLOR booking modules, the City’s insurance program and its’ application, and all corporate policies and procedures related to facility booking.
  • Manage customer and facility inquires and/or requests through phone, email or in person and inform appropriate staff when required.
  • Record, maintain and compile statistics as required.
  • Performs additional similar duties as assigned.

MINIMUM QUALIFICATIONS:

EDUCATION:

  • High School (Grade 12) graduation plus an additional programme of up to one year in General Office Administration or equivalent.

EXPERIENCE:

  • Over one (1) year, up to and including two (2) years’ experience in a recreation/culture office environment.

OTHER SKILLS AND ASSETS:

  • Demonstrated data entry skills an asset.
  • Intermediate to advanced skills in MS Excel, Word and Outlook an asset.
  • Advanced skills in XPLOR booking modules, report printing and other related XPLOR modules an asset.
  • Sound judgment, good decision-making and analytical skills an asset.
  • Exceptional written and verbal communication and interpersonal skills with an emphasis on customer service an asset.
  • Able to deal with confrontational situations an asset.
  • Able to work independently or as part of a team an asset.
