Reporting to the Manager, Facilities Services and Operations this role is responsible for leading a team, formulating and establishing guidelines, policies, and procedures to provide service excellence to stakeholders and clients in the delivery of Brampton’s Facility Events Strategy and various community events within downtown Brampton facilities. This role will ensure a proactive approach to brand building and marketing program delivery initiatives that meet the needs of the community.

Position Duties and Responsibilities:

1. Operations

  • Supervise and monitor the quality of service delivery of specific programs and activities to meet operational effectiveness and corporate service standards. 
  • In collaboration with the Manager, Facility Services and Operations review and revise current policies and procedures and standards to ensure service excellence and effectiveness.
  • Under the direction of the Manager, Facility Services and Operations implement a multi-year event strategic plan to ensure service delivery efficiency and effectiveness
  • Responsible for the planning, building and implementation of downtown Brampton facility events, including council activities, high profile community events, and corporate functions
  • Manage mailroom, courier/shipping and receiving activities and ensure timely delivery of services to all City facilities including libraries
  • Source and negotiate with vendors and suppliers
  • Onsite inspections and project management
  • Approve and organize details as they relate to events such as floor plans, setup and service requirements, and staffing requirements.
  • Provide timely follow-up to customer service issues
  • Serve as a liaison with the Mayor, Council office, dignitaries and members of the community.
  • Perform additional similar and related duties as assigned.

2. Staff Supervision

  • Supervise unionized FSO office staff including assigning, and reviewing of work and assessing performance
  • Oversee the day to day operations of unionized and non-unionized FSO staff members including scheduling, assigning, and reviewing of work and assessing performance
  • Interview, recruit and hire staff to meet operational effectiveness 
  • Assess, monitor performance and discipline as required to meet operational effectiveness
  • Provide oversight to Facility Technician Lead and Facility Support Associate in their staff supervision, recruiting, and training duties
  • Lead and support FSO staff with the planning of bookings, events, and technical equipment support
  • Coach, develop and supervise FSO operational and building staff with respect to project management, customer service relations, team effectiveness and continuous improvement
  • Address and resolve any problems that may arise, make on the spot decisions, delegate roles, direct staff, and be present at the events as required
  • Deliver team building strategies and continuous improvements

3. Marketing Programming

  • Responsible for planning and implementing marketing programming tasks and social media campaigns
  • Research, design, develop and execute new promotional strategies and oversee the full implementation of plans
  • Promote/market events in consultation with Strategic Communications including social media campaigns
  • Ensure programming and operational excellence by researching, designing and developing new and existing marketing campaigns and events
  • Create surveys and report on findings such as attendance numbers, trends, target achievements and areas for growth.

4. Customer Service

  • Work in collaboration with a wide range of internal and external stakeholders, contractors and vendors in downtown Brampton facilities for special projects, strategies and initiatives to ensure that projects are executed on time and within budget as per project plans
  • Build and maintain a relationship with internal and external stakeholders, departments and team members
  • Liaise with various community groups, businesses and customers to enhance client relationships when planning and producing events
  • Liaise with Economic Development to execute special events
  • Develop and implement facility improvements and provide recommendations for site and operational improvements
  • Create surveys and report on findings such as trends, achievements and areas for growth
  • Present post-event analysis reports when required

5. Budget Support

  • Prepare budgets and ensure adherence
  • Provide input on divisional budget requirements to support anticipated business needs 
  • Supervise and monitor current budget of expenditures and ensure budget compliance meet necessary sign-offs and approvals 
  • Use of effective resource and expense management at all times to meet corporate policies and guidelines. 

Minimum Qualifications:

Education:

  • Post-secondary degree or diploma in Special Events, Communications, Marketing, Hospitality, Public Relations or equivalent

 

 Experience:

  • 4-5 years of experience in a municipal or community events related environment with proven experience in event planning or marketing and execution in a project team environment

Special Requirements:

  • Strong customer service and people management skills
  • Proficient in Microsoft Office software
  • Knowledge of CRM systems
  • Excellent written and verbal communication skills
  • Excellent interpersonal skills and experience working with community groups and/or the private sector, other levels of government
  • Strong organizational and time management skills
  • Ability to work well under pressure
  • Detail oriented, well organized and able to prioritize tasks and meet critical deadlines
  • Regular access to a vehicle
  • Able to work independently and as part of a team
