PRIMARY FUNCTION:

Responsible for providing exemplary frontline customer service to internal and external clients; responsible to intake and release animals at the front counter and to dispatch service calls to Animal Control Officers.  Provides administrative support to the Animal Services team to ensure operational needs of the section are met.

  • Responds to and logs customer inquiries and requests related to City by-laws and animal services, including lost and found, fees, adoption and euthanasia.
  • Acts as the first point of contact for animal drop-offs and discharges by receiving and discharging various species of domestic animals and wildlife, ensuring required paperwork is completed and issued.
  • Dispatches service calls to Animal Control Officers in accordance with departmental policies and procedures; ensuring calls and/or complaints are managed in priority sequence.
  • Prepares daily financial records, including remittances, deposits and cheque requisitions; receives and processes payments related to animal services, ensuring all documentation is provided to the Collections Department.
  • Issues and renews licences for sale to veterinary clinics, recreation centres and the public; tracks batches and payment receipts and coordinating the annual inspection and tag issuance by Animal Control Officers.
  • Assists with the preparation and completion of correspondence and documentation, including animal investigations, crown briefs and affidavits; liaising with internal and external resources as required.
  • Maintains sectional filing system and electronic databases with new and/or updated information; generates reports for review by Management.
  • Prepares meeting minutes, reports and correspondence, including animal bites and requests for prosecution.
  • Assists with training new Animal Services and Call Centre staff as it relates to section specific software and standard operating procedures.
  • Orders office supplies and maintains an inventory of information available to the public (i.e. pamphlets, brochures and flyers).
  • Liaises with Fleet Services to coordinate vehicle maintenance requests for the Animal Services fleet. 
  • Performs other similar and related duties as assigned.

SELECTION CRITERIA:

EDUCATION:

  • High School (Grade 12) graduation plus an additional program of up to one (1) year in Office Administration or equivalent.

EXPERIENCE:

  • Over one (1) year, up to and including two (2) years in a related animal field in an administrative capacity.

SKILLS AND ASSETS: 

  • Exceptional communication and interpersonal skills with an emphasis on customer service.
  • Able to work independently and as part of a team.
  • Working knowledge of Microsoft Office.
