POSITION DUTIES:
Responsible for the management of information throughout its lifecycle including electronic applications, systems and physical documents.
- Reviews documents (hard copy and digital) sent for retention to ensure compliance with records planning and applicable by-laws and determines classification
- Updates the electronic records management system with incoming documents and information ensuring quality control of details, conventions, codes
- Creates, organizes, scans, indexes and classifies hard copy and digital records
- Performs imagining service for archival and access to information request purposes
- Assits in annual destruction undertaking
- Moves documents into physical storage and /or ensures digital copies are filed electronically and coordinates with vendors for transfer of information, records and supplies
- Files digital copies of documents
- Repackage and relabels damaged storage boxes
- Provides technical advice to City employees related to records management processes and supporting technology and applications and to coordinate file transfers and management
- Respond to external document requests from citizens and businesses
- Receives requests for documents and undertakes searches / research and provides appropriate materials
- Posts content to websites Assist with municipal elections
- Provides support to divisions with information management projects
- Drafts standard operating procedures and identifies process improvements opportunities
- Compiles statistics on inventories and day-to-day operations of the information holdings
Selection Criteria
Education:
- Minimum: completion of a certificate in records or information management
Experience:
- Minimum of one year of previous experience in a records management role
Other Skills and Assets:
- Records management practices and legislation and the specific policies, bylaw and procedures for the City
- Job-related office productivity software, applications and databases, and technology devices
- There is an expectation that the incumbent will remain current on relevant procedures, legislation and policy, both provincial and for the City of Brampton
- Provides customer service and technical advice to employees on records management and to coordinate services
- Receives requests from external and internal parties for documents and information
- Liaises with vendors to order products and schedule services
